Johnson & Johnson Innovative Medicine Asia Pacific is recruiting for a Executive Assistant to the CFO, located in Singapore.
As the Executive Assistant to the CFO for J&J Innovative Medicine Asia Pacific, you will play a pivotal role in ensuring the smooth operation of our executive office.
You will be responsible for providing high-level administrative support to Chief Financial Officer (CFO) as well as general administration support for AP Regional Finance organization.
This role requires exceptional organizational skills, a keen eye for detail, and the ability to maintain confidentiality while handling sensitive information.
Key Responsibilities Calendar Management.
Maintain and coordinate the CFOs' calendars, scheduling meetings, appointments, and travel arrangements.
Ensure all commitments are met while optimizing their time.
Communication.
Act as a primary point of contact for internal and external stakeholders, screen and direct incoming calls and emails, and draft or review correspondence on behalf of the executives.
Meeting Coordination.
Arrange and prepare materials for executive meetings, conferences, and presentations.
Attend meetings and take detailed notes for later distribution.
Travel Management.
Plan and coordinate travel itineraries, including flights, accommodations, and ground transportation, ensuring cost-effective and efficient travel arrangements.
Document Management.
Manage and organize digital and physical files, records, and documents for the executives.
Maintain an efficient and well-organized filing system.
Expense Management.
Handle expense reports and reimbursements, ensuring compliance with company policies and accurate record-keeping.
Event Planning Support.
Assist in the preparation and coordination of the global executive visit, as well as coordinate meetings and related logistics.
Project Support.
Provide support for special projects and initiatives as assigned by the CFO, including research, analysis, and follow-up.
Confidentiality.
Maintain the highest level of confidentiality regarding all aspects of the executives' work and activities.
Relationship Management.
Build and maintain strong relationships with internal and external stakeholders, including clients, partners, and board members.
Qualifications Proven experience as an executive assistant or senior administrative assistant, preferably supporting C-suite executives.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in MS Office and other relevant software.
Exceptional attention to detail and problem-solving abilities.
Ability to work independently and prioritize tasks effectively.
High level of professionalism, discretion, and integrity.
Bachelor's degree or equivalent experience preferred.
