This position will be based in Raritan, NJ.
This position may require up to 10% travel.
Per our J&J Flex Policy, the expectation for this position is to work in the Raritan, NJ office a minimum of 3 days per week and work from home 1-2 days per week.

The Executive Administrative Assistant will provide comprehensive administrative support for the Worldwide President, Wound Closure & Healing and Biosurgery and the Wound Closure & Healing and Biosurgery (WCH & Bio) Platform Leadership Team, which are part of the MedTech Surgery organization.
The ideal candidate will enjoy being an integral part of a team bringing transformational medical technology innovation to patients worldwide, in a dynamic, fast-paced and exciting team environment where multiple competing demands are the norm and the standards of performance are high.
Key Responsibilities.
· Act as a role model for professionalism, courtesy, and excellent interpersonal communication on behalf of the President and their Leadership Team (LT).
· Provide comprehensive and proactive administrative support to the President and LT to enable effective prioritization and maintain consistent internal and external engagement.
Builds and maintains a complex and highly fluid calendar coordination working closely with global cross functional business partners, with a keen and proactive sense of prioritization and time management to ensure maximum effectiveness and efficiency of time use by the President and LT.
Exhibits exceptional organizational skills with keen attention to detail.
· Lead and manage complex travel arrangements/itineraries, including but not limited to.
domestic and international travel for internal (J&J) and external (business-partner-facing) meetings, processing of Visa/Passport requirements, global meeting and conference registrations and travel details, and providing active support in case of unforeseen travel disruption, including coordinating travel plans with business partners to maximize the use of company resources and time.
· Prepare expense reports, most of which are incurred while on global travel and require consideration of and compliance with healthcare compliance requirements, in a detail-oriented, timely and compliant manner.
Supports drafting and publication of communications on behalf of the President and LT, making ad-hoc delegation decisions on communications and implementing them.
Closely partner with colleagues across all levels in the organization to organize meetings, ranging in attendee size and subject matter – from 1.
s to global town halls, and provide necessary logistical support including technology, meals, room setup, and day of meeting point of contact support.
Coordinates and attends Leadership Team meetings and other staff and leadership activities for the President; coordinates all materials, tracks action items and follows up as needed.
Consistently performs admin duties such as PO creation and submission, troubleshooting workplace facility/technology issues, organizational chart and distribution management, and ad hoc team management transactions in Workday.
With the partnership of the team Sr.
Administrative Assistant, maintain the WCH & Bio MS Teams site and function as a key point of contact for the WCH & Bio GSM and Platform team.
· Demonstrate proficiency working with the range of technologies required to execute the duties of this role and a proactive interest to quickly learn new technologies and features as needed.
· Maintains professionalism, strict confidentiality and discretion at all times while exercising independent judgment to solve complex problems, often under minimal direction or supervision.
Maintain strong working relationships with all stakeholders, including WCH & Bio cross functional administrative assistants, creating an efficient and effective teamwork atmosphere and supporting team connectivity and collaboration across a globally dispersed team.
· Role may require occasional local travel to other J&J sites or offsite locations in support of meetings (<10%).
Qualifications Education.
· A minimum of a High School diploma is required; Associates or Bachelor Degree strongly preferred.
Required.
· A minimum of 8 years of administrative or related experience is required.
· Experience in a global and matrixed team environment, interfacing with diverse people and situations while supporting executives and their teams, is required.
· Experience making and supporting complex international and domestic travel arrangements, coordinating onsite and offsite meetings across multiple time zones, and managing complex calendars via Outlook is required.
· Excellent verbal and written communication skills, including ability to draft and edit correspondence and collect or prepare information for executive review, are required.
· This position requires exemplary customer service skills, ability to handle multiple tasks and priorities simultaneously, the ability to anticipate executive needs, and the ability to work with independence and minimal supervision.
· Must maintain confidentiality, and operate consistently with poise, professionalism, and a sense of urgency in a complex and rapidly changing environment.
· Must possess exceptional interpersonal skills and a high degree of emotional intelligence in interactions with senior/executive leaders and with employees at all levels of the organization.
· Must demonstrate excellent judgment and the ability to anticipate and solve problems proactively, and must be detail-oriented, thorough, accurate and well-organized.
· Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook), virtual meeting platforms (Zoom, Teams, Global Connect), and systems required to execute purchase order and HR processes (e.
., Workday, Ariba/eMarketplace, IRIS) is required (or analogous systems for external candidates).
Preferred.
Strong proficiency using and innovating on current J&J technology platforms, including Office 365 – One Drive, Teams, Zoom, SharePoint, Excel, Outlook, PowerPoint, Word, Concur Travel & Expense, AskGS, Workday, IRIS, ARAVO, Our Source, Ariba/e-Marketplace is preferred.
