Per our J&J Flex Policy, the expectation for this position is to work in office 3-4 days per week and work from home 1-2 days per week.

The J&J Supply Chain is an integrated, global supply chain that serves the needs of the 1 billion people who use J&J products each and every day around the world.

The Administrative Assistant will support Janssen Supply Chain Quality (JSCQ) senior leaders.
Primary responsibilities include but are not limited to handling complex calendars, scheduling, and planning for departmental meetings/events, completing and submitting expense reports, and arranging domestic and internal travels.
The incumbent will also work on assigned projects/processes that enhance the efficiency of administrative and business operations activities.
This position reports to the VP Small Molecule Quality and is an individual contributor position within JSCQ.
Principal Responsibilities.
Provide support to assigned JSCQ Leadership Team members and their teams.
Manage a highly complex business calendar with a keen sense of prioritization and time management to ensure maximum effectiveness of time used.
Directly arrange or guide domestic and international travel arrangements Schedule and coordinate logistics and catering for large meetings or events (onsite or offsite, celebrations, team building, picnics, etc.) Assist with the setup and execution of meetings including scheduling physical and virtual conference rooms.
Schedule and coordinate candidate interviews.
Assists with the on-boarding and off-boarding of internal FTEs and contractors.
Order Office supplies and Information Technology Services and Products Take ownership and accountability on assigned centralized administrative processes such as Submit, track, and maintain POs for contractors, through J&J systems Create and maintain organizational charts and electronic distribution lists for assigned areas.
Maintain Teams sites as appropriate Distributes announcements/communications for SDS area scopes.
Greet and Assist visitors, including visitor registration as needed.
Follow organization and company standard operating procedures in a timely fashion Coordinate with other administrative staff to accomplish departmental activities.
Use sound judgment, discretion, independent assessment, and strong follow-up skills for resolution of sophisticated situations/problems related to projects and assignments.
Handle and maintain sensitive and confidential matters.
Qualifications Requirements.
A minimum of a High School/Secondary Degree is required.
Associate’s degree is preferred.
A minimum of 4 years minimum relevant experience as an Administrative Assistant or similar role is required.
Proficiency in the MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Visio) is required.
Excellent written, oral, presentation, and interpersonal communication skills are required.
Ability to exercise good judgment, maintain confidentially and discretion when coming across sensitive information is required.
Effective partnership with stakeholders at all levels in a global matrix Work with minimal supervision and respond well to change in business needs in a multifaceted, fast-paced, environment is required.
In-depth experience with operating and communication platforms (SharePoint, Engage, MS Teams, Zoom, Global Connect, eMarketPlace, Concur, Workday, Our Source) Experience providing administrative support to leaders with global responsibility Must be flexible in working hours occasionally to effectively support global teams.
Must have a strong sense of urgency, while maintaining a high degree of professionalism.
Must have strong organizational skills along with excellent judgment and reasoning abilities.
Must be a strong team player with the ability to coordinate with other administrative staff.
